Who this covers

This policy explains what information Mesilla Valley Transportation (“MVT”) collects through help-us-improve.com, how we use it, and the choices you have. The site exists for a single purpose: to give MVT employees a direct line to leadership for suggestions, anonymous feedback, and proposals for new processes.

What we collect

We only collect what you type into a form. There are no analytics, no advertising trackers, and no cookies on this site.

Share a suggestion (named)

  • Your name and email address
  • MVT company, department, and location you work at
  • Your suggestion text
  • Your preference on whether leadership may disclose your name
  • Your browser user-agent string
  • A one-way, salted SHA-256 hash of your IP address (used for abuse prevention — we never store the raw IP)

Stay anonymous

The anonymous form is designed to carry no identifying data:

  • Company, department, and location you want to discuss
  • Your message
  • Your browser user-agent string

We do not record your name, email, IP address, or an IP hash on anonymous submissions.

Propose a new process (named)

This form collects the same fields as a named suggestion plus the details of your proposal (current state, proposed solution, advantages, implementation costs, origin of the idea, impact scope, and affected company / department / location).

How we use what you share

  • Route your submission to the MVT leadership inbox so it can be read and acted on.
  • Send you a thank-you email when you provided an address on a named submission.
  • Follow up with you if leadership has questions, unless you asked us to keep you confidential.
  • Investigate abuse or spam (using the salted IP hash only on named submissions).

We do not use your submission for marketing, sell it to anyone, or share it outside MVT except with the service providers listed below.

Who processes the data on our behalf

Running the site requires a small set of vendors. Each one only sees the data needed to do its job:

  • Supabase— stores submissions in a Postgres database (hosted in the United States).
  • Resend— delivers the alert email to leadership and the thank-you email to you.
  • Vercel— hosts and serves the site.

These vendors are bound by their own data-protection terms and process data only to provide their service to MVT.

Cookies and tracking

This site does not set cookies, run analytics, or load third-party trackers. Vercel may record standard request logs (for example, to mitigate DDoS attacks) as part of hosting; those logs are kept by Vercel under its own policy.

How long we keep it

Submissions are retained for as long as they remain useful to the improvement program, and then archived or deleted in line with MVT’s internal records policy. If you want a named submission deleted sooner, contact us using the details below.

Your choices and rights

  • Stay anonymous.Use the anonymous form — we will have no way to tie the submission back to you.
  • Control disclosure. Named submissions let you choose whether leadership may attach your name to the idea, share it only if the idea is adopted, or keep you confidential.
  • Access, correct, or delete. If you made a named submission and want a copy of what we have, a correction, or deletion, contact us below.

Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA. We will honor valid requests.

Security

Submissions are transmitted over HTTPS and stored in an access-controlled Postgres database. Writes from the browser go through server-side validation and a dedicated stored procedure — the browser never has direct write access to the data. IP addresses on named submissions are hashed with a server-only secret before storage; the raw IP is discarded.

Children

This site is for MVT employees. It is not directed to anyone under 16, and we do not knowingly collect information from children.

Changes to this policy

We may update this policy as the program evolves. The date at the top of the page reflects the most recent change. Material changes will be called out on the home page before they take effect.
